01 · Client context

A single-location family practice with a 4.6-star reputation going cold on after-hours leads.

Rosewood Family Dentistry is a single-location general practice in a 70k-population metro suburb — two doctors, one hygienist, a front-desk coordinator, and a 4.6-star Google rating that the practice leans on for new-patient acquisition. The practice was getting roughly 38 new-patient inquiries a month on its website and Google Business profile, and roughly a third of them were landing after 5pm, when the only after-hours coverage was a voicemail greeting that routed to a service that took the message and replied by 9am the next morning.

02 · Problem

After-hours inquiries and the hygiene recall lane were both leaking at the same seam.

When the audit started the no-show rate on hygiene appointments averaged 11% and climbed to roughly 18% on the operative side. The front-desk coordinator was confirming by phone in the morning, calling roughly two-thirds of the next-day slate, and getting voicemail roughly forty percent of the time before lunch.
